What we collect
When you contact us through the website, by email or by phone, we collect the details you give us. That is usually your name, email address, phone number, and whatever you tell us about your child or your setting.
We also collect basic technical information when you visit the site, including your IP address, browser type, device type and which pages you viewed. This is standard web server and analytics data.
Why we collect it
We use your enquiry details to respond to you, to discuss whether we can help, and to arrange services if you go ahead. Our lawful basis for this is legitimate interests, or performance of a contract once you become a client.
We use technical data to keep the site working and to understand how people use it. Our lawful basis is legitimate interests.
Where an enquiry includes information about a child's needs or health, that is special category data. We only process it where it is necessary to provide the services you have asked for, and we handle it with the same confidentiality as our clinical records.
Who we share it with
We do not sell your information and we do not share it for marketing.
We share it only where we need to: with the practitioner working with your child, with our email and website providers who host the systems we use, and where the law requires it. If we have a safeguarding concern about a child, we will follow our safeguarding obligations, which may mean sharing information without your consent.
How long we keep it
Enquiries that do not lead to services are deleted within 12 months. Client records are kept for seven years after our work together ends, in line with professional record-keeping requirements. Technical and analytics data is kept for 26 months.
Your rights
Under UK data protection law you have the right to:
- ask for a copy of the information we hold about you
- ask us to correct anything inaccurate
- ask us to delete information, where we are not required to keep it
- ask us to restrict how we use it
- object to us using it on the basis of legitimate interests
- ask us to transfer it to another provider
There is no charge for making a request, and we will respond within one month.
